Privacy Policy for Honour and Glory Boxing

We keep this simple. Your privacy matters to us, and we only collect what we need to run the club and keep you informed. No selling your data, no dodgy third parties.

Who we are

Honour & Glory Boxing Club is a community-focused, ABA-affiliated boxing club based at 122 Broad Walk, London SE3 8ND. When we say "we", "us", or "our" in this policy, that is who we mean.

What we collect

When you book a trial, sign up, or contact us, we may collect:

  • Contact details - your name, email, phone number
  • Trial preferences - class, boxing goal, experience, and an optional broad area or outward postcode. We do not retain a full address or full postcode from that field
  • WhatsApp invite request - the booking action that asks us to send one Boxing Updates Community invite to the phone number on your trial booking
  • Participant info - age, emergency contact, any relevant health conditions
  • Payment details - processed securely through our payment provider
  • Photos and videos - if you've given consent for training or promotional use
  • Browser and campaign data - page interactions, anonymous browser/session identifiers, UTM campaign values and advertising click IDs while the relevant optional category is on

How we use it

We use your information to:

  • Handle trial bookings, professional-boxing enquiries, personal-training enquiries, confirmations, and reasonable follow-up
  • Send one WhatsApp Community invite after you submit a trial booking under the disclosure immediately below the booking button
  • Run your membership and process payments
  • Contact you about sessions, events, and club news
  • Keep you and other members safe (emergency contacts, health info)
  • Meet our obligations as a community sports club
  • Improve how the club operates

Who we share it with

We only share your data when we need to:

  • HubSpot - to store and manage trial, professional-boxing, and personal-training enquiries, qualification details, booking stages, and follow-up
  • Resend - to send enquiry confirmations, useful follow-up emails, and notifications to the club team
  • Upstash and WhatsApp - to hold and deliver a one-time Boxing Updates Community invite requested by your trial booking. The short-lived delivery record does not include your email, class choice, campaign data, referrer, or analytics identifiers
  • PostHog and Google Analytics - for optional browser analytics that runs by default unless you turn analytics off using Privacy choices
  • Google Ads and OneSignal - for advertising measurement and optional club-news push features while marketing is on. Browser push permission is a separate choice
  • PostHog - for separate anonymous, personless form outcome and chat-performance counters. These server-side counters do not include names, email addresses, phone numbers, IP addresses, browser identifiers, advertising IDs, or location details. They also do not include chat content
  • Google Gemini - to generate answers when you choose to use the website chat. The messages you send and a broad current-page path are sent to Gemini for that purpose; chat content is not copied into our analytics events
  • Sentry - for server-side error and security monitoring on forms and API routes. It may receive technical request and error information needed to investigate a failure. Client-side Sentry browser monitoring is disabled
  • Vercel - to host and deliver the website and maintain operational, security, and delivery logs. Vercel browser analytics and speed insights are disabled
  • Amateur Boxing Alliance - for membership registration and competition licensing
  • Payment providers - to process your payments securely
  • Emergency services - if there's a medical emergency
  • Local authorities - if required by law or for safeguarding

We never sell your data. Service providers process it only for the purposes above and under their own security and legal obligations.

Newsletter and email updates

When you sign up for our Boxing Starter Pack or newsletter, we collect your email address and send it to Beehiiv, our email platform, to deliver the guide and occasional boxing tips. By signing up you consent to receiving these emails.

  • We only send club news, training tips, and event updates - nothing from third parties
  • Every email includes an unsubscribe link. One click and you're off the list
  • You can also email us directly to have your data removed
  • Beehiiv processes data under their own privacy policy

How long we keep it

We keep membership information while you're active and for up to 3 years after you leave, or longer where safeguarding or legal obligations require it. Payment records are kept for 7 years. Trial and professional enquiry records, provider delivery and error logs, and analytics are kept according to operational need and current account settings rather than a guaranteed automatic deletion date. You can ask us to delete your information where we have no legal or safeguarding reason to keep it.

For the one-time WhatsApp Community invite, dispatch eligibility ends 15 minutes after the short-lived outbox record is created. Your phone number and first name are held separately with an automatic, fixed expiry at that 15-minute deadline. They are deleted sooner when a terminal delivery outcome is recorded. This expiry is enforced by the managed KV service and does not depend on website traffic or the sending computer. A keyed phone fingerprint, the consent and message versions, the source event key, delivery status, bounded machine delivery identifiers, and an internal finish-acknowledgement token may remain to prevent repeat invites, safely acknowledge or reconcile a finish request, and audit the outcome.

Your rights

You have the right to:

  • See what information we hold about you
  • Ask us to correct anything that's wrong
  • Ask us to delete your data (where we legally can)
  • Opt out of marketing emails
  • Complain to the Information Commissioner's Office if you're unhappy

Cookies and analytics

This website uses cookies and similar technologies to help us understand how people use the site. Optional browser analytics and marketing integrations run by default unless you turn them off using Privacy choices in the footer. No first-visit cookie banner is shown. A saved off choice is applied before optional loaders start. Submitting an enquiry still sends the information needed to process it and an anonymous, personless form success or failure counter, regardless of optional cookie choices.

  • Essential cookies - required for the site to work (always on), including a one-use, non-identifying trial-success marker that expires within five minutes
  • Optional analytics - PostHog and Google Analytics are on by default and help us see which pages are useful and where people get stuck. You can turn analytics off at any time using Privacy choices in the footer. If you turn off an optional category that has already loaded, its cookies are cleared and the page refreshes after cleanup so the runtime is fully stopped
  • Server form counters - PostHog also receives personless aggregate success and failure events when a form is submitted. These counters contain the form type, broad route/outcome and categorical selections needed to assess the enquiry funnel, plus an operational error stage when relevant; they do not contain contact details, IP addresses, browser or advertising identifiers, precise URLs, free text, or location details
  • Optional marketing - Google Ads measurement and OneSignal club-news features are on by default unless you turn marketing off. Advertising and campaign attribution is cleared from browser storage and form fields when you do. Browser notification permission remains a separate choice. Turning marketing off opts the current browser out of its OneSignal push subscription before SDK consent is withdrawn; turning marketing back on does not automatically resubscribe it
  • External maps - map embeds do not load on our pages. Google Maps opens only if you choose an external directions link

Children's privacy

Many of our members are under 18. We take extra care with children's data and require parental consent for anyone under 16. Photos of juniors are only used with explicit parental permission.
